Key Responsibilities
* Drive administrative excellence by maintaining a regular presence in the office and adhering to established working hours
* Develop and maintain in-depth knowledge of products across various universities and study areas worldwide, ensuring expertise is up-to-date and comprehensive
* Provide seamless administrative and logistical support to the team, ensuring efficient operations and minimal disruptions
* Spearhead day-to-day administrative activities, facilitating information exchange between stakeholders and promoting a culture of transparency and collaboration
* Lead, supervise, and coordinate the administrative division's activities and operations, ensuring alignment with departmental objectives and organizational policies
* Architect and execute purchasing strategies, reviewing and preparing bid packages, and overseeing departmental purchase orders in compliance with financial and procurement policies
* Analyze and optimize service delivery methods, recommending adjustments to service and staffing levels as needed to enhance efficiency and effectiveness
* Manage and maintain manual file systems, diaries, and appointment schedules, ensuring data accuracy and accessibility
* Create high-quality documents, including letters, emails, and presentations, meeting deadlines and exceeding expectations
* Serve as a liaison between departments, divisions, and external agencies, negotiating and resolving sensitive issues with tact and diplomacy
* Attend meetings, events, and workshops as required, representing the organization and fostering meaningful connections
* Coordinate logistics, including preparing orders for delivery or pickup, receiving and processing inventory, and maintaining a safe and clean working environment
* Assist in preparing essential documents, such as visa and admission applications, ensuring accuracy and attention to detail
* Develop and update client and stakeholder contact lists, both nationally and internationally, to facilitate effective communication and relationship-building
* Arrange travel bookings, hotel reservations, and transportation services for staff and visitors, ensuring a seamless experience
* Conduct banking and administrative tasks, including collecting and depositing documents and funds
* Provide visa assistance, including scanning, form filling, and document submission, as needed
* Perform additional tasks as assigned by the supervisor, demonstrating flexibility and a commitment to excellence
* Uphold the organization's HR Policy Manual, adhering to established guidelines and procedures in all aspects of work.
