Key Responsibilities
* Spearhead administrative operations, including maintaining accurate records of vehicle movements, fuel consumption, and staff overtime.
* Oversee office facilities management, ensuring seamless maintenance of utilities, equipment, and cleanliness, while negotiating and renewing rent agreements.
* Lead a team of support staff, providing guidance and supervision to drivers, office assistants, messengers, and cleaners to ensure efficient day-to-day operations.
* Drive logistics and transportation arrangements for senior staff, executives, and foreign delegates, including visa processing, travel bookings, and accommodation coordination.
* Architect and implement effective transport solutions, including vehicle rentals and maintenance, to support organizational programs and events.
* Coordinate event logistics, including venue setup, catering, and equipment, for seminars, workshops, and meetings across Bangladesh.
* Manage procurement processes, sourcing office supplies and low-value items, while ensuring compliance with organizational policies and procedures.
* Develop and maintain relationships with vendors and suppliers, negotiating contracts and ensuring timely delivery and quality assurance.
* Champion asset and inventory management, maintaining accurate records, monitoring stock levels, and disposing of obsolete items in accordance with organizational procedures.
* Provide financial support, verifying bills and vouchers, and maintaining organized records of procurement and administrative expenses for audit purposes.
* Facilitate communication and coordination with external vendors, including printing services, courier companies, and catering providers, to ensure high-quality delivery and timely execution.
* Ensure seamless day-to-day operations, including office dining arrangements, courier services, and delivery tracking, to support a productive work environment.
Requirements
Experience
At least 3 years
Education
- Master of Business Management (MBM) in Management
- Bachelor of Business Administration (BBA) in Management
Additional Requirements
- Willingness to work under pressure and meet tight deadlines for event organization
- Strong interpersonal skills and the ability to coordinate across multiple departments (Finance, Legal, and Programs)
