Key Responsibilities
* Spearhead the creation and review of official documents, including letters and reports, to drive mission success.
* Architect and manage complex schedules, appointments, and staff calendars to ensure seamless operations.
* Drive effective communication by maintaining meticulous records of incoming and outgoing correspondence, ensuring prompt follow-up and resolution.
* Lead the minute-taking process, guaranteeing accurate documentation and timely sharing with relevant stakeholders.
* Oversee the management of mail, packages, and courier services, ensuring efficient registration, distribution, and verification of related documentation and billing.
* Champion office administration by monitoring and replenishing stationery, supervising document printing and binding, and maintaining a professional reception area.
* Welcome and support visitors and guests, providing a positive and professional experience.
* Identify and report administrative incidents and issues to supervisors, facilitating swift resolution and process improvement.
* Coordinate and execute internal and external events, including logistics, catering, and accommodation, to drive engagement and collaboration.
* Support staff onboarding by developing and distributing induction materials, coordinating training sessions, and streamlining administrative processes.
* Manage the preparation, distribution, and collection of HR-related forms and documentation, ensuring accuracy and confidentiality.
* Develop and maintain up-to-date personnel files, guaranteeing data integrity, completeness, and confidentiality.
* Facilitate recruitment processes by coordinating candidate communication, scheduling interviews, and conducting follow-ups to drive talent acquisition.
* Craft and disseminate internal communications, including memos and notices, to keep staff informed and engaged.
* Ensure the timely and confidential distribution of staff payslips, maintaining payroll integrity and confidentiality.
* Design and implement efficient filing systems, enabling easy document retrieval and archiving of payroll and administrative documents.
* Manage internal requests for office and training materials, ensuring prompt fulfillment and supporting operational efficiency.
* Produce and issue ID cards for new staff members, streamlining the onboarding process and ensuring security and compliance.
