Key Responsibilities
* Spearhead factory administration, driving seamless daily operations and overseeing overall activities.
* Champion security protocols, including access control, visitor management, and security register maintenance.
* Orchestrate logistics, transportation, utilities, and administrative services to ensure efficient operations.
* Architect and maintain a world-class 6S workplace management system, promoting a safe and organized work environment.
* Foster strategic partnerships with suppliers, service providers, and contractors to deliver exceptional administrative services.
* Drive vendor performance, negotiate service agreements, and optimize administrative costs.
* Steward company assets, administrative inventory, and office resources to maximize utilization and minimize waste.
* Validate administrative bills, utility payments, and vendor invoices to ensure accuracy and compliance.
* Develop and maintain meticulous administrative documentation and records, ensuring data integrity and compliance.
* Collaborate with HR to drive recruitment efforts, manpower planning, and training initiatives that align with factory operational needs.
* Design and deliver comprehensive training programs, including annual, quarterly, and monthly plans, to enhance employee skills and knowledge.
* Facilitate payroll coordination, ensuring timely salary payments and maintaining employee satisfaction.
* Manage the entire employee lifecycle, from onboarding to offboarding, including documentation, records, and compliance.
* Monitor employee attendance, behavior, and workplace discipline, addressing issues promptly and fairly.
* Provide counseling, conflict resolution, and grievance management to maintain a positive and productive work environment.
* Implement and support HR policies, performance monitoring, and employee engagement initiatives that drive business success.
* Ensure unwavering compliance with EPZ Law, buyer Code of Conduct, and BEPZA regulations, mitigating risk and protecting the organization's reputation.
* Coordinate and prepare the factory for audits, inspections, and regulatory visits, demonstrating a commitment to transparency and accountability.
* Conduct regular floor monitoring, identifying areas for improvement and implementing corrective actions to maintain a safe, compliant, and efficient work environment.
* Manage statutory licenses, ensuring timely renewal and maintaining accurate records and schedules.
* Develop and maintain strong relationships with BEPZA authorities and government departments, facilitating inspections, approvals, and compliance reporting.
* Represent management during authority visits, handling official correspondence and communications with professionalism and poise.
* Prioritize workplace safety, emergency preparedness, and continuous floor monitoring, creating a safe and compliant working environment that supports employee well-being and business success.
Requirements
Experience
5 to 10 years
Education
- Post Graduate Diploma (PGD) in HRM
- Master of Business Administration (MBA)
