Key Responsibilities
• Drive the implementation and daily management of the enterprise-wide Document Management System (DMS), streamlining document control procedures, standard operating procedures, and templates to ensure seamless operations.
• Architect and maintain a robust document and records governance framework, encompassing classification, ownership, metadata, confidentiality, and retention strategies across physical and digital platforms.
• Lead the lifecycle management of documents and records, overseeing creation, review, approval, distribution, retrieval, revision, archival, and disposal to ensure accuracy, completeness, and compliance.
• Develop and maintain centralized document repositories, master lists, and trackers to ensure easy access, traceability, and retrieval of critical documents and records.
• Manage document control operations across multiple systems, including Google Workspace, shared drives, ERP, and HRMS, to ensure proper filing, access control, and record availability.
• Ensure the availability and organization of critical documented information to support ISO/IMS, legal, regulatory, governance, and business requirements, including audits and certifications.
• Collaborate with departments and document owners to collect, verify, review, and update documents and records, providing guidance on document formats, naming conventions, and version control.
• Design and deliver training sessions, user guidelines, and instructional materials to promote best practices in document and records management, addressing user queries and access issues.
• Conduct regular audits to identify and report on document control gaps, obsolete records, and nonconformities, recommending corrective actions to strengthen document discipline and compliance.
• Drive continuous improvement initiatives to enhance document management processes, promoting standardization, confidentiality, and system effectiveness.

Education
- Bachelor of Business Administration (BBA) in Management
- Bachelor of Business Administration (BBA) in Management Information System
- Bachelor of Arts (BA) in Information Science & Library Management
Additional
- 3 to 5 years of professional experience in Document Management, Records Management, Document Control, or Information Governance
- Knowledge of ISO 15489, ISO 27001, and document security practices will be an advantage
- Experience in MNCs, INGOs, corporate groups, or diversified enterprise environments will be preferred
