Key Responsibilities
• Ensure smooth day-to-day administrative operations of the office
• Maintain office cleanliness, safety, and proper working environment
• Supervise office support staff (peon, cleaner, drivers, etc.)
• Manage office facilities including electricity, water, AC, and maintenance
• Maintain records of company assets and ensure proper utilization
• Coordinate repair and maintenance work with vendors
• Handle procurement of office supplies, stationery, and equipment
• Maintain stock register and ensure timely replenishment
• Monitor cost-effective purchasing practices
• Manage company vehicles, fuel usage, and driver schedules
• Ensure proper maintenance and documentation of vehicles
• Coordinate transportation for employees and official purposes
• Liaise with external vendors (security, cleaning, maintenance, etc.)
• Negotiate contracts and monitor vendor performance
• Ensure timely bill processing and payments
• Maintain administrative records, contracts, and agreements
• Ensure compliance with company policies and local regulations
• Support audits and inspections when required
• Ensure office security systems and protocols are in place
• Monitor security guards and visitor management system
• Implement workplace health and safety measures
• Arrange meetings, conferences, and office events
• Manage meeting rooms, logistics, and refreshments
• Support HR in organizing employee engagement activities
• Assist in preparing administrative budgets
• Monitor expenses and ensure cost control measures
• Prepare reports on administrative expenditures
• Provide administrative support to senior management
• Handle official correspondence and coordination tasks
