Key Responsibilities

• Spearhead office communications, overseeing emails, letters, and phone interactions to ensure seamless connectivity. • Architect and manage executive calendars, coordinating schedules and appointments with precision. • Craft and finalize critical documents, including reports, presentations, and meeting minutes, to drive informed decision-making. • Design and maintain robust filing systems, safeguarding sensitive records and confidential documents with utmost care. • Orchestrate meetings, travel arrangements, and appointments, ensuring flawless execution and minimizing disruptions. • Provide exceptional visitor experiences, extending professional courtesy to clients, stakeholders, and external partners. • Streamline office operations by managing mail, courier services, and internal communications with efficiency. • Collaborate with management to draft official correspondence, notices, and internal announcements, ensuring clarity and consistency. • Drive administrative excellence by maintaining office supplies, tracking inventory, and anticipating support needs. • Proactively follow up on pending tasks, providing management with timely status updates and progress reports. • Facilitate inter-departmental collaboration, fostering open communication and coordination to achieve shared goals. • Safeguard confidential company information, adhering to strict security protocols and access controls. • Support the development of management reports, providing data-driven insights to inform strategic decisions. • Maintain meticulous records of agreements, approvals, and key documents, ensuring compliance and audit readiness. • Build and leverage external relationships with banks, government agencies, suppliers, and partners to drive business outcomes. • Develop and distribute board meeting materials, including agendas and minutes, to ensure transparency and accountability. • Handle sensitive executive documents with discretion, maintaining confidentiality and upholding the highest standards of professionalism. • Enable strategic communication by supporting senior management in crafting key messages, presentations, and stakeholder engagement initiatives. • Monitor critical deadlines, submissions, and regulatory requirements, ensuring timely compliance and mitigating risk.
